DATA & ACCOUNT DELETION

This page provides clear instructions on how to request the deletion of your user account and associated personal data from Docmate and other HeatCave applications (published by MAXBAR&DONNA SPÓŁKA Z OGRANICZONĄ ODPOWIEDZIALNOŚCIĄ), in compliance with Google Play Developer Policies.

1. ACCOUNT & CLOUD STORAGE MODEL

Our application (Docmate) operates with a secure cloud account system. To provide synchronization across your devices, we support account registration and cloud storage:

  • Users can register and log in using an email address and password, or authenticate via Google Sign-In.
  • All user documents, receipts, categories, and file uploads are securely stored and processed in our cloud database.
  • Your profile details and credentials are linked directly to this account.

2. HOW TO DELETE YOUR ACCOUNT AND DATA

You can request the permanent deletion of your account and all associated files at any time through these methods:

  • In-App Deletion: Log into the application, navigate to Settings / Profile, and click on the 'Delete Account' option. This will initiate the immediate deletion process.
  • Email Request: Send an email to support@heatcave.com from the email address associated with your account. Please use the subject line 'Delete My Account'. We will process your request within 7 business days.

3. DATA TYPES THAT WILL BE DELETED

Upon executing your deletion request, the following information will be permanently removed from our active systems:

  • Account Credentials: Your email address, password hash, user profile details, and Google Sign-In authentication tokens.
  • Uploaded Content: All scans, receipt photos, document attachments, custom categories, and metadata stored in your cloud space.
  • Application Settings: Personal preferences and customization data linked to your account.

4. DATA RETENTION AND PURGING TIMEFRAME

We ensure that data is completely and safely removed:

  • Active Systems: Once the deletion is initiated (either via the app or email), all data is instantly and permanently deleted from our live databases and cloud storage buckets.
  • Backups: Backup copies of our databases and cloud infrastructure are updated regularly; your deleted data will be completely overwritten and purged from all backup archives within a maximum of 30 days.
  • Retention Exceptions: No user data is retained after deletion, except where required by applicable laws (e.g. tax, audit, or financial record-keeping obligations for commercial transactions, if any).
